Business Central Licensing consists of 3 types of licenses
- Team Member
Essentials and Premium Licenses cannot be combined as this dictates the functionality of Business Central
Premium License includes all the functionality of Essentials License plus Manufacturing and Service Management
Essentials and Team Members or Premium and Team Members can be combined.
This is a license type which dictates the features and functionality of Business Central.
In a manufacturing business, a Premium license is required since Essentials does not include Manufacturing. The Premium license includes everything that is in Essentials i.e. Financials, Supply Chain, Inventory Management, Warehousing and Distribution.
How many users will need to be on the system at the same time? Decide if each user needs full access or read only access.
Business Central Essentials License
Includes Financial Management, Inventory Management, Supply Chain and Warehousing
Includes everything in Essentials plus Manufacturing and Service Management
The Team Members subscription is a named user subscription designed for users who are not tied to a particular function, but who require basic Business Central functionality. This license includes read access as well as some write access for select light tasks across Business Central functionality for a given tenant.
The Team Members SL grants a user full read access to Essentials and Premium for a given tenant. In addition, the Team Members SL includes some limited use write access to Essentials and Premium.
Central Team Members also includes the Power Apps/Power Automate Use Rights with Dynamics 365 license. Team Members users can use Power Apps to access Business Central within the bounds of their Team Members license.
Team Members requires that at least one other user be licensed with Essentials or Premium.
Team Members use rights:
(i) Read anything within Business Central
(ii) Update existing data and entries in Business Central – existing data are records like customer, vendor or item records which are already created. Entries means entries on which it is specifically allowed from an accounting perspective to update specific information. (e.g. due date on customer ledger entries)
(iii) Approve or reject tasks in all workflows assigned to a user
(iv) Create, edit, delete a quote
(v) Create, edit, delete personal information
(vi) Enter a time sheet for Jobs
(vii) Use Power Apps/Power Automate Use Rights with Dynamics 365 license
(viii) Team Members application module may be customized with maximum 15 additional entities (custom entities or “out-of-the-box” Common Data Service entities) available to the Team Members license per pre-approved application scenarios
It varies on the project size, but a good estimate would be around 3 to 6 months.
Payroll is a 3rd party solution and can be included in the implementation at an additional cost
